Active Data Calendar Advanced Registration Module

 

Our Advanced Registration Module allows event coordinators to create and use registration form templates customized by attendee type or event type. Configure forms with different fields appropriate to your event - Age, Gender, Income Levels, Year of Graduation, Preferences.

 

Key Features

1. Customize Event Registrations Forms
 

  • Ability to add registration forms, modify/delete existing forms and view the list of forms available and the details of each. Ability to add additional form field options, such as:


    • Text Field

    • Text Area

    • Password

    • Radio Buttons

    • Check Boxes

    • Drop-downs

 

  • For each field that is added to the registration form template, the user can also select if the field is required or optional for completion by registrants.

 

  • Save form templates for re-use for future events.

 

  • Ability to customize confirmation emails per event.

 

  • Registration emails can be customized through an online configuration area. The emails include:

    • Thank you email– Sent once a registrant request form is completed.

    • Registrant Approved/Accepted– Sent once the event administrator has reviewed the request and selected to approve the registrant.

    • Registrant Denied– Sent once the event administrator has reviewed the request and selected to deny the registrant.

 

2. Registration Management

 

  • Ability to track event registrants and configure event registration for automatic approval or administrator review.

 

  • Ability to identify user accounts that are authorized to setup form templates, receive registration requests or approve registrations.

 

  • Download registration information in .csv or xml formats.

 

 

Existing Functionality of Active Data Calendar

The following features currently exist in Active Data Calendar.

 

  • Automated notification and alerts to staff and attendees.
    Attendees can subscribe to email notifications with regard to changes to any event category, individual event or event series. When events get cancelled or the location changes, visitors can opt-in to be notified. In addition, based on workflow rules, administrators that require approval of events, locations, categories or resources are automatically emailed of new/pending actions.

  • Online access for reservations and attendance to events requests.
    Active Data Calendar allows administrators to offer online registration management for selected events.

    • Set maximum spaces for an event.

    • Track and download registrations for each event.

    • Approve registrants and send a registration confirmation ID number.

    • Denied registrations are tracked in the event that space becomes available, allowing administrators to create a waiting list.

    • Email Registrants in bulk or individually at any time to send agendas, directions, or any other important information prior to an event.

    • Turn off registration options when an event is at maximum capacity.

  • Ability to create an Admissions calendar and sub-calendars by topic (open houses, campus tours, financial aid, etc.) or audience (matriculated students, parents, etc.

  • Ability to syndicate and list Admissions related events throughout various Admissions related web pages.

  • Ability to import and export event information from other applications.

  • Allows cross promotion of events across category calendars.

  • Courses can be classified across multiple categories and individual category calendars can be viewed by Academic Department, Major, etc.

  • Users can subscribe to calendars or specific events.

  • Visitors can subscribe to be email notified whenever new or modified events are published to each category calendar. Also, visitors can subscribe to event notifications on a per event basis to be notified of changes in date, time, location, or any event detail. This is extremely helpful for cancelled or rescheduled events.

  • Email notification of new events, changes or cancellations.

  • If visitors subscribe to be notified of modifications to specific events, then emails can be sent of any new information, or supplemental information.

  • Provide real time Master Calendar information to other web pages with RSS feeds.

  • Visitors can configure their own custom RSS feed. In addition, administrators can save common RSS feeds to an RSS library in Active Data Calendar for reuse in email or web page updates.

  • Online event submission, users must answer pre-defined questions for ensuring that all information is submitted. Up to 4 fields can be designated as optional or required during the event publishing process. Each field can be denoted as a text, dropdown, or checkbox with the ability to provide fixed selections for the visitor to choose.
