"Before we launched the Active Data Exchange software, we used a manual process where a number of people across campus made various phone calls to service areas (facilities, food, audio/visual, security) to reserve rooms and schedule events. Employees were confused who to call and were never really sure if the service groups were informed of all the necessary details for the event. This time consuming task is now eliminated with the ADE automated process -- set-ups flow more smoothly and all affected parties are notified along the way.
With the implementation of ADE, all campus events are posted to the online calendar so that our faculty, staff, students, alumni, parents, friends and donors can see all activities happening across campus. "We have been without an events calendar for some time now and there has never been any agreement among the various units on personal calendar software, so we in public affairs looked for a product we could provide our constituencies. The roll-out has been tremendous and we are entering our second training schedule and have already expanded the number of users. Many of our colleges are also using the private calendar for their internal events. We have now linked the public calendar directly to the home page as the popularity has jumped enormously. All athletic events, performances, exhibitions and films are now online and many college level events that are open to the public. We are using a category called Governance to satisfy state open-meeting requirements for meetings that must be open to news and public by law."
